Handsam System Updates: New Functionality Added to Medical Log

Managing health, safety, and compliance efficiently is vital for UK schools to meet statutory safeguarding and medical care requirements. Handsam has introduced key administrative enhancements to streamline student and staff medical record management and improve safeguarding protocols.

Listing a Medical Condition as a Significant Medical Condition

This allows Medical Administrators to flag severe or high-risk medical conditions—such as severe allergies, brittle asthma, or diabetes—as a "Significant Medical Condition." Once toggled on, these records are automatically moved to the top of the All Medical Conditions and Students with Medical Conditions views, highlighted in a distinct peach background.

Benefits for Schools:

Instant Risk Identification: Crucial information is immediately visible without scrolling through routine conditions, accelerating emergency response planning.

Compliance Support: Helps schools meet the Department for Education (DfE) guidance on supporting pupils with medical conditions by ensuring high-need care plans are prioritised and accessible.

Student Photo Upload by Wonde

School staff can now Integrate pupil photo sync via Wonde across the Incident, Behaviour, and Medical Log modules. Student photos now automatically appear in user directories, medical condition lists, and when creating incident, injury ("bump"), or medical reports.

Benefits for Schools:

Safeguarding & Error Reduction: Eliminates identity confusion when logging incidents or administering treatment, particularly in larger schools with pupils who share identical or similar names.

Efficient First Aid Delivery: Allows first aiders and duty staff to visually verify student identities during field trips, supply teaching cover, or emergency situations.

Adding a Medical Condition, Medication and Care Plan for a Staff Member.

This new feature enables administrators to create and manage dedicated medical profiles for staff members within the Users directory. Staff conditions can be linked directly to specific dosage instructions, expiry dates, and storage locations (e.g., whether the medication is held centrally by the school or carried by the individual). Official care plans can also be uploaded via drag-and-drop.

Benefits for Schools:

Enhanced Workplace Safety: Ensures clear protocols are readily available in the event of a staff medical emergency on site.

Audit-Ready Audit Trails: Tracks on-site storage and expiration dates for staff medications, supporting Health and Safety Executive (HSE) workplace requirements and school risk assessments..

Removing and Updating a Medical Condition, Medication or Care Plan for a Staff Member.

Schools can now outline systematic protocols for updating or removing staff medical records. To maintain database integrity, medications must be logged off before a condition can be deleted. The system requires administrators to log a date, method, and reason for disposal—either through the Expiring Medications module or directly via the user’s profile.

Benefits for Schools:

Controlled Inventory & Disposal: Prevents outdated or hazardous medications from lingering on school grounds by forcing a clear record of disposal.

Data Minimisation & GDPR Compliance: Ensures obsolete personal health data is cleanly removed, aligning with UK GDPR data protection principles regarding retention schedules.
